The unit's mission is to provide effective financial leadership abilities, services, information and stewardship in support of the academic, research and service activities of Western’s community. 

Responsibilities

The Administrative adjunct will provide support for a variety of administrative tasks, which support the smooth and effective operations of Financial Services.  The function will serve as a resource and first point of contact for department visitors, faculty, staff, committees and other stakeholders in regards to administrative matters, answering or re-directing inquiries as appropriate.  The Administrative adjunct will perform a range of tasks ensuring that deadlines and schedules are met, such as monitoring and ordering office supplies, coordinating meetings and ordering catering services, and facilitating the preparation of materials and assisting with mass mailings.  this function will provide support for accounting and financial functions within the department. The Administrative adjunct manages calendars for the unit management team, ensuring that meetings are prioritized and scheduled located on time sensitivity and importance. 

Qualifications

suitable education
   » 2 year community college diploma in Office Administration or a related field    
practice:
   » 3 years’ practice providing customer service and administration in a business office setting 
   » practice with accounting or bookkeeping preferred 
expertise, expertise & Abilities:
   » Verbal communication expertise to clearly express ideas in an objective manner, and adapt communication style to suit the situation and audience 
   » Demonstrated capability take initiative, to work independently and follow through on work assignments
   » capability to apply active listening to hear and understand the complete message being communicated
   » Competency to maintain confidentiality and treat sensitive information with discretion
   » capability to establish rapport with people from diverse backgrounds
   » Demonstrated capability to understand and resolve external and internal partner issues
   » capability to maintain a positive, outgoing attitude with genuine customer service orientation
   » capability to follow formal business practices with high attention to detail
   » capability to multi-task and maintain an organized and effective personal work environment

   » capability to demonstrate patience and focus to complete detailed administrative tasks

   » Intermediate proficiency required in Microsoft Office (Word, Excel, Outlook)
   » Familiarity with software applications used by Western preferred – e.g. OWL, Cascade, PeopleSoft, MustangMarket
   » Familiarity with Western policies and guidelines preferred
