The Executive Support Team is comprised of four agents that collaboratively manage the diaries of 25 senior MRC staff, in addition to supporting strategic projects, workshops, meetings and training. About the function
We are seeking for a motivated self-starter to provide efficient diary support and meeting coordination, including secretariat tasks where appropriate. You will build and develop effective relationships with our stakeholders and partners, enabling consistent communication and collaboration. You will also assist the Head Office Support & Development Manager to deliver tasks and projects relating to MRC research and funding.
tasks include:
Provide proactive administrative support
   » Understand strategic and personal priorities to handle complex diaries, making efficient meetings, including arranging travel and accommodation
   » Research and analyse information to create briefings and support the preparation of well-organised meeting documents
Provide proactive support for MRC meetings
   » Take the lead planning and organising meetings, including collaborating closely with the Chair and attendee; setting dates; supporting travel arrangements and expenses; and booking appropriate hospitality and technology
   » Attend meetings to ensure the arrangements are satisfactory, taking minutes and recording actions, ensuring follow-up action is undertaken and feedback is provided to significant colleagues
Department administration and record-keeping
   » Support staff recruitment, induction, training and the organisation of records of staff responsibilities and budget authorities
   » Assist with the management and maintenance of digital content and resources.
   » Proactively assess department procedures and practices, and propose changes
   » Collaborate with the IT Help Desk and expertise and Information Management teams to efficiently resolve technical and data issues
   » Develop expertise of MRC and UKRI, actively engaging with cross-council forums
You will need:
   » English and Maths GCSE at Grade C or above (or equivalent qualification or practice)
   » Excellent communication and interpersonal expertise
   » capability to prioritise and coordinate own workload
   » Fully proficient in using routine Microsoft applications
   » practice of arranging meetings and drafting minutes
   » practice of working with and supporting multiple senior managers simultaneously
   » Confidence in dealing with people at all levels
   » Anticipating and planning for evolving business needs
